Feature Demonstration: Process Flows

When you want to purchase items, you typically start with a purchase order. A sales process frequently starts with a sales quote. Microsoft Dynamics 365 Business Central provides the flexibility to use different types of purchase and sales documents. These diagrams provide an overview of a typical purchase and sales process.

Purchase Process Flow

The figure below shows the process performed in typical purchases and payables tasks and the impact they have on Inventory and G/L.
For the purchase process, the central purchasing document is a purchase order.

If you purchase items, you will receive items resulting in a posted receipt that will update the inventory for the purchased item. You will also receive the invoice from the vendor.

If you register and post the purchase invoice, a posted invoice is created that will update the general ledger by updating the chart of accounts. The vendor card will also be updated and, based on that update, the final step in a typical purchase process is the issuing of the payment. This will also update the vendor card and the chart of accounts.

Sales Process Flow

The figure below shows this feature’s effect on inventory and G/L, the steps performed in typical sales and receivables tasks, and the impact they have on other application areas.

The sales process will often start with a sales quote. If our prospects or customers agree with the quotation and decide to purchase, we can convert the quote to an order. Once you have a sales order, you can start shipping the items from the order. When you post the shipments, the inventory and item will be updated.

You will also invoice the customer by posting the invoice, which will result in a posted invoice. The posted invoice will update the chart of accounts and the item. The last step is recording the payment. The customer payment will automatically update the chart of accounts and the customer card.
